Position Summary

This role provides administrative support to the Talent Management team, including data entry, scheduling, and special projects. Role offers opportunities to learn production business practices in a complex, multi-project film post-production environment.

What You’Ll Do

Assist and support the Talent Management team in day-to-day activities including:

Updating assignments, schedules and time off in database

Calendar scheduling for Talent Management, including various department meetings and demos

Travel scheduling and coordination

Expense reporting

Various administrative tasks as needed

Email weekly crew reports for each show, and schedule weekly crewing meetings

Responsible for recording and distributing meeting minutes, and preparing any needed documents for meetings beforehand

Coordinate setting up all End of Show reviews and tracking progress to completion

Update and maintain confidential files and database, including show credit and demo reel requests

Assist with staff timecards

Maintain ILM department and show crewing alias groups

Point of contact for conference room bookings, including set up for cross-site meetings

Responsible for organizing and maintaining location equipment including cataloging, shipping and repairs

Coordinate Talent Management workplace service and IT needs

Coordinate on-site Talent Management and Training visitors

Occasionally act as back-up for Executive Assistants

Assist with various event planning and coordination across ILM departments

Special projects as needed on an on-going basis as assigned

What We’Re Looking For

Bachelor’s degree in film production or equivalent preferred

Minimum one year of related experience

Computer skills: Microsoft Word, Excel, Google Suite

Must have the ability to juggle multiple projects, work with diverse personalities and work within strict deadlines

Ability to work well in a team environment

Strong verbal and written communication skills

Excellent administrative and organizational skills
